FLSA:                                     Nonexempt, hourly   Grade: 10 - $18.00 minimum hourly rate

FTE STATUS:                        Full-time, 37 hours a week, with possible overtime

ORGANIZATIONAL SUMMARY

Unity in Action is a 501 (c) 3 non-profit organization established in 2014. The first Latino-led, grassroots organization focusing on the needs of Latinos and other immigrants in Dakota County and Siouxland. Unity in Action seeks to empower, educate, and advocate for all Latinos in a way that brings people together, builds partnerships, and strengthens our community. We aim to support Latino community members and local partners in accessing resources and promoting just and inclusive communities.

JOB SUMMARY

The Operations Coordinator assignments may entail a broad knowledge base, decision-making, problem-solving, and the ability to be flexible with scheduling. This team member will perform administrative support and other duties as the Executive Director assigns.  Additionally, this individual will be the agency’s first professional impression and voice of the agency.

 

ESSENTIAL JOB DUTIES

  • Coordinates office functions by greeting office guests, answering phones, ordering supplies, maintaining mail and correspondence, attendance records, and filing system.

  • Coordinates board and committee meetings and specific internal meetings and events.

  • Manages external event calendar with all members to ensure the room is appropriately set up for meetings and access to the space

  • Maintains and manages office supply inventory

  • Helps maintain lists of board members, committees, volunteers, and mailing lists

  • Assist with database entries, organizing and maintaining archives

  • Assist with donor lists, letters, and files

  • Helps staff with special projects

  • Reliable and consistent attendance on-site or at off-site events

  • Other duties as assigned by the Executive Director

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced skills in Microsoft Office software, especially Outlook, Word & Excel (i.e., must be able to perform a mail merge, create name tags and an Excel document using simple equations) required.

  • Quick learner & good communication skills are a must

  • Organized, self-starter, detail-oriented who is resourceful, and not afraid to troubleshoot

  • Function in a flexible work environment where schedules and demands change regularly

  • The ability to pivot in a fast-moving environment is a must

  • Adeptness to continually re-prioritize projects as new assignments arise

  • A minimum of 2 years of experience working in a professional office environment is required; a nonprofit preferred

  • Establish and maintain office systems and procedures

  • Dependable and punctual attendance is a must to ensure coverage of the front deskarea

  • Bilingual in both English and Spanish is highly preferred

  •  

SPECIAL CHARACTERISTICS

  • This position may require work beyond 37 hours a week as needed.

  •   

PHYSICAL REQUIREMENTS

  • This position requires 70% sitting, 20% walking/standing, 5% reaching, and 5% lifting, no more than 15 lbs.
